Terms of Service

CANCELLATION, REFUND AND RESCHEDULING POLICY

Bachelor in Cartagena

1. Scope

This Policy governs all bookings of accommodations, transfers, experiences, and ancillary services ("Services") arranged by Bachelor in Cartagena ("we", "us", "our") for the Client and its group ("you", "Client"). By paying any amount toward a booking, you acknowledge that you have read, understood, and agree to this Policy. The groom's zero share does not reduce the group's joint and several liability for the full booking amount.

2. Definitions

Deposit means the first installment equal to fifty percent (50%) of the total booking price, due no later than twenty-one (21) days before the scheduled check-in date (or immediately if booking within that window).

Final Balance means the remaining fifty percent (50%), due no later than seventy-two (72) hours before check-in.

Lock (or "Locked") means the moment we confirm and block the villa and/or contracted Services with third-party suppliers. Lock ordinarily occurs upon clearance of the Deposit. Until Lock, dates and Services are not guaranteed.

Written Notice means a cancellation or change request sent by WhatsApp or email to the channel designated in your confirmation, stating the booking reference, dates, and requesting party.

3. Cancellation before Lock

If you cancel by Written Notice before Lock, any amounts paid shall be refunded in full, less non-recoverable payment-processing fees charged by our payment provider (if any), within five (5) business days of our acknowledgment of your notice. Date changes before Lock are free of charge, subject to availability.

4. Cancellation after Lock

Once Services are Locked and the Deposit has been paid:

(a) Fourteen (14) or more days before check-in. The Deposit is non-refundable. Any portion of the Final Balance already paid shall be refunded, less non-recoverable processing fees. At our sole discretion and subject to availability, you may apply the Deposit as a one-time credit toward a new booking of equal or greater value commencing within twelve (12) months of the original check-in date; any price difference is payable by you. Unused credit expires automatically at the end of that period.

(b) Fewer than fourteen (14) days before check-in; no-show; early departure. No refund of any amount paid shall be due. Failure to complete the Final Balance by its due date constitutes cancellation under this subsection (b).

5. Individual extras and supplier-confirmed activities

Experiences confirmed with suppliers (including without limitation boat charter, helicopter tour, spa, sports, security, in-villa services) follow the same rules as Section 4 from the moment of supplier confirmation. Non-use of a confirmed activity does not give rise to a refund.

6. Weather and maritime restrictions

If a water-based or outdoor activity cannot proceed due to weather, port authority (Capitanía), or comparable safety restriction, our sole obligation is to reschedule that activity within your stay when reasonably possible, or to issue a credit limited to that line item. Such events do not entitle you to cancel the entire booking or to a refund of the Deposit or other Services.

7. Force majeure

Neither party shall be liable for failure to perform caused by events beyond reasonable control, including acts of God, government action, travel bans, natural disaster, civil unrest, epidemic, or supplier insolvency. In such cases we may, at our election: (i) postpone the booking within twelve (12) months without penalty; or (ii) refund amounts not yet irreversibly committed to suppliers, after deducting non-recoverable costs. Documented medical emergencies are considered case by case and do not create an automatic right to refund.

8. How to cancel

Cancellations and rescheduling requests are effective only upon our receipt of Written Notice. Verbal requests are not binding. Refunds, when due, are issued to the original method of payment used by each payer; processing times depend on the card issuer or bank.

9. Travel insurance

You are strongly advised to obtain comprehensive travel insurance covering cancellation, interruption, medical expenses, and personal liability. Absence of insurance does not expand our refund obligations under this Policy.

10. Chargebacks and disputes

Before initiating a payment dispute or chargeback, you agree to contact us in writing and allow a reasonable period to resolve the matter under this Policy. Unfounded chargebacks may result in cancellation of remaining Services without refund and recovery of associated fees.

11. Governing framework

This Policy forms part of our Terms of Service. If any provision is held unenforceable, the remainder continues in full force. Nothing herein limits mandatory consumer rights that cannot be waived under applicable law.
